Location: Charlottesville Virginia

Description: CFA Institute is at present looking to employ Curriculum Project Administrator right now, this job will be placed in Virginia. The Curriculum Project Administrator will be responsible for various activities related specifically to the ongoing process coordination and preparation of curriculum readings for the curriculum development production process. This individual will oversee the production process as well as maintaining current readings files. This will include working with vendors (internally and externally) to maintain the source files and develop the print-ready files. The position will be headquartered in Charlottesville, VA and will report to Curriculum Development Project Manager.

Essential Functions

Prepare content files (in Microsoft Word) for production. Tasks include creating/formatting complex tables, entering equations, applying Word styles to define content elements, and entering required information about a document

Initiate automated processes to generate XML files from the prepared Word files

Resolve styling, table formatting, or equation issues in the Word files that result in errors in the XML generation process

Collaborate with Multimedia R&D to exchange curriculum files in the correct format and to ensure projects remain on schedule

Accountable for ensuring that curriculum products produced meet quality standards of CFA Institute corporate standards as appropriate

Responsible for the timely communication of pertinent information to internal and/or external constituents

Prepare and compose written communications and facilitate the distribution of data/information

Responsible for identifying and recommending enhancements to processes and/or procedures

If approved, the responsibility expands to developing and implementing the solution

Use, maintain, and ensure relevance of an extensive set of checklists and procedures, customized for projects and updated as needed

Recommend process improvements and implement, as appropriate

Track and report on the status of projects to help ensure successful completion and documentation and assist with collection of inputs required for product production

Develop and sustain supportive and productive relationships with other areas in CFA Institute and serve as backup liaison to designated business owners as needed

Qualifications

Education/Experience

Bachelor’s Degree or an equivalent combination of education and experience

Minimum 5-7 years experience in office, business administration, or project management experience, preferably in a service environment requiring frequent interaction with customers/clients

Experience in project management, with skills necessary to interpret what is needed for the success of a project and to create appropriate schedules for timely delivery

Advanced proficiency in Microsoft Word, particularly in creating complex tables and applying styles

Experience with entering equations using MathType or similar equation builder (highly desirable)

Experience applying consistent formatting styles in a document, based on a style guide (highly desirable)

Experience with XML coding or other content markup, particularly in a publishing environment (desirable)

Knowledge of SharePoint a plus

Excellent communications skills that include knowledge of basic rules that govern use of the English language and skill in applying that knowledge in both verbal and written expression

Excellent attention to detail a must

Very high level of organizational and time management skills

Flexibility in competently juggling competing priorities and changing expectations

Excellent interpersonal skills, with ability to work effectively in a team environment both within the department and elsewhere in the organization

Willingness to ask questions rather than just follow directions is required
