Xenia Systems is seeking an experienced Executive Administrative Assistant for a permanent position in Alexandria, VA. This is a full-time position that ! will include a full benefits package.

The Administrative Assistant will provide administrative support to the Group General Manager (GGM) and North American Leadership team. This will include co-ordination of day-to-day activities, diary and travel arrangements, arranging meetings, preparation of presentations, reports and general correspondence and liaison with senior internal and external stakeholders. The ability to adapt to changing priorities together with the flexibility to work out of normal hours is required. The incumbent must be able to work independently, demonstrating initiative with a highly motivated, confident and flexible manner. The incumbent must be able to perform the occasional evening and weekend work as business needs dictate.

The incumbent will be required to work closely with the GGM to establish and maintain support systems and procedures to enable the tracking and management of issues/projects, regular reporting requirements, dele! gated tasks within the business and the exchange of informatio! n with relevant individuals, organizations and stakeholders.

The position will be responsible for arranging domestic and international travel for the GGM and members of the North American Leadership team.

The position has an important role in ensuring the smooth and efficient management of the area for the GGM, maintaining a high level of organization and time management to meet schedules and deadlines as required.

The incumbent will play an active role in working with senior managers to ensure the delivery of client commitments across different business environments, requiring the incumbent to have a good working knowledge of different business cultures and practices.

The incumbent will also be responsible for managing and implementing the overall administrative processes and systems for the reception function.

Key Accountabilities:
Personal Administrative Assistance to Group General Manager Provide proactive and effe! ctive telephone and calendar management. Resolve conflicting schedule demands. Coordinate the preparation of business folders for specific projects including all meeting arrangements, minutes and agendas, travel arrangements, presentations, and other relevant documents. Office Management & Administration Organize, support and coordinate activities related to the North American Leadership Team, including minutes of management meetings, meeting scheduling and report generation and circulation. Reception Management Manage reception personnel and associated activities. Internal and External Relationship Management Coordinate and liaise with stakeholders both internally and externally. Ensure stakeholder and key contacts database is maintained. Track progress against stakeholder-related goals. Reporting Assist in the preparation of formal corporate reporting other ad-hoc reporting. Provide assistance with the preparation of reports, proposals and presentations. Circulate appropr! iate reports and information as directed to facilitate an exchange of i! nformation and knowledge sharing. Key Selection Criteria: Extensive experience as a personal or executive assistant gained in a corporate environment. Excellent time management and organizational skills, including the ability to work on multiple tasks/projects concurrently. Must be willing and able to do occasional evening and weekend work. Strong interpersonal and communication skills. Strong written communication skills. Confident demeanor and diplomacy with the ability to liaise with people at all levels. Demonstrated strong customer focus and team player willing to apply initiative in the work environment. High level of maturity and professional presentation. Excellent report production and presentation skills. Advanced Microsoft Office suite skills and knowledge required.
