Job Summary:
The EITC/VITA! (Earned Income Tax Credit/Volunteer Income Tax Assistance) Site Coordinator is responsible for coordination, organization, and management of the community based tax assistance preparation site located at UR Downtown. The Site Coordinator oversees all aspects of operations at the EITC/VITA site to ensure superior quality and fair services are provided to all clients; appropriate application of tax law; professional management and interaction of volunteers; application of ethical standards; and adherence to IRS and United Way's MetroCash policies, procedures, and guidelines during tax filing season.
Qualifications and Skills:
Organizational and leadership/management skills
Experience with diverse populations of customers and volunteers
Excellent interpersonal skills
Familiarity with federal and state tax laws
Experience with tax preparation
Familiarity with professional tax preparation software
Capacit! y to display supportive and professional conduct in a fast-pac! ed environment
Experience with EITC/VITA tax assistance programs strongly preferred
Bilingual speakers (especially Spanish) welcomed.
Essential Functions:
OPERATIONAL MANAGEMENT (45%)
Maintain communication and working relationship with MetroCASH, IRS, and UR Downtown Program Director
Maximize and efficiently use available resources to maintain well-organized flow
Enforce intake procedures appropriate for UR Downtown site
Ensure adequate equipment, supplies, and forms are available for smooth site operations
Ensure taxpayers are within IRS income guidelines and returns are prepared within scope of tax preparer expertise
Troubleshoot technological and software issues
Oversee prompt transmittal of tax returns and ensure timely resolution of rejects and problem returns
Gather, compile, and submit reports as required by IRS and MetroCASH.
VOLUNTEER MANAGEMENT (! 30%)
Adhere to MetroCASH and UR Downtown volunteer protocols regarding recruitment, training, and retention
Provide volunteer orientation
Organize and monitor volunteer schedules and approve time sheets
Communicate with volunteers regarding schedules to ensure adequate coverage for all positions
Delegate roles, responsibilities, and tasks to each volunteer based on site needs and volunteer interests and abilities
Ensure all volunteers complete activities within their scope according to level of certification
Answer volunteer questions and assist with troubleshooting
Provide volunteers with timely tax law updates and IRS alerts
Provide positive and professional experience for volunteers with ongoing performance feedback and support.
CUSTOMER SERVICE (25%)
Ensure volunteers, staff, and clients are treated fairly and professionally with courtesy and respect
Ensure all se! rvices provided are free of charge and that no form of compensation is ! accepted for services
Demonstrate cultural and socioeconomic sensitivity in all interactions
Protect and maintain confidentiality of client information
Apply tax law with integrity and fairness to all clients
Be available to assist and respond to tax questions from clients and volunteers
Maintain control of site, volunteers, staff, and clients at all times
Adhere to Title VI by not denying service to anyone based on race, color, sex, age, national origin, or disability
Address all client complaints promptly and comply with MetroCASH policies concerning grievances.
